The Associate Director of Operations & Finance will be a strategic thought-partner, and report to the Chief Executive Officer (CEO). This position will have responsibility for all internal financial operations and all financial staff. Working with the CEO, the Board of Directors, Director of Programs and key stakeholders, this position will create a strategic financial plan and oversee its implementation that helps the organization meet its mission. This position will provide strong day-to-day leadership for the organization by maintaining a positive work environment with an open-door policy that delivers using the collaboration, creativity and utilization of the unique skill sets each team member brings to the organization. 

The Associate Director of Operations & Finance will partner with the leadership and program teams in forming the strategic financial plan and will influence decision making and operations as the organization continues to improve its quality programming and build capacity. The position has regular contact with local and state government agencies, professional service providers, vendors, and team members and must be able to operate with a customer forward focus.
The Associate Director of Operations & Finance, working in tandem with the Director of Programs, will drive the operations and reporting of the organization’s finances and funding ensuring that the public and private funds received to provide services are fully accounted for and utilized efficiently, effectively, and as intended by the donor/funder. 
Key Responsibilities: 
Finance:   
  • Preparation and management of agency and program budgets in collaboration with CEO and Director of Programs and direct service program staff.
  • Oversee the day-to-day accounting team and closing of the monthly and year-end books.
  • Lead and manage the annual external audit and 990 including management of schedules and control narratives; serve as primary point of contact for auditors; implement auditor recommendations. 
  • Coordinate with accounting and operations staff and external contractors to produce accurate and timely financial statements. 
  • Prepare and provide financial reports to the Finance Committee and Board of Directors 
  • Manage the organization’s cash flow, support business planning with sophisticated financial models and accurate revenue forecasts. 
  • Oversee the reconciliations of all monthly Bank records. 
  • Ensure the creation of and maintenance of asset list.
  • Create and ensure compliance with the organization’s Financial Policies and Procedures 
Operations:
  • Work directly with Director of Program and program managers to ensure financial and operational resources are available to deliver programming that meets the organization mission.
  • Work directly with Human Resources and Director of Programs to ensure performance metrics that measure success for team members are in place.
  • Work directly with Human Resources and program management staff to ensure high quality recruitment and retention of quality staff with resources addressing pay and benefits.
  • Work directly with Human Resources to create and maintain policies and procedures that support a positive people-orientated work environment. 
  • Maintain a positive relationship with all program partners and team members and assist in ensuring contract renewals.
Facilities
  • Oversee building and grounds maintenance, including related expenses and vendor contracts.
  • Collaborate with staff to ensure all facilities meet state licensing and regulatory requirements.
  • Source, negotiate, and manage contracts with service providers.
  • Manage budgets for renovations, refurbishments, and capital improvement projects.
  • Oversee and allocate budgets for operational and logistical needs across all office locations.
Information Technology 
  • Work with CEO in identifying needs and sourcing and contracts and service providers.
  • Review of IT processes and oversee costs of contract services and/or equipment that will improve the effectiveness of IT integration. 
Human Resources 
  • Work with Human Resources to develop and maintain the organization Policies and Procedures to ensure smooth organization operations including administration of compensation and benefit programs.
  • Work with Human Resources to ensure competitive compensation and benefit programs. 
  • Work with Human Resources to develop and oversee recruitment and retention programming that ensures a work environment consistent with the organizations mission and goals while retaining high performance contributors.
  • Work with Human Resources, CEO, and Director of Programs to ensure that all terminations are managed in accordance with organizational policies and government regulations. 
Key Qualifications: 
To perform this job successfully, an individual must be able to multi-task, be action oriented and have a commitment to and passion for assisting the organization in achieving the mission. The attributes listed below are representative of the knowledge, skill, and/or ability appropriate for the level of work performed. 
  • Bachelor’s degree in accounting, Business or Finance; or equivalent combination of formal education and experience required.
  • Proven track record of successful team and project management and balancing the delivery of programs against the reality of budgets. 
  • Five-plus years of broad financial and operations management experience,
  • Experience in and responsibility for the quality and content of all financial data, cash flow, annual budgets, audit coordination, and grants. 
  • Ability to translate financial concepts to – and to effectively collaborate with— programmatic and fundraising colleagues who do not necessarily have finance backgrounds. 
  • Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders including the Board of Directors.
